Prvaha uses role-based access control (RBAC) to make sure every person on your team — and every patient — can only access the parts of the platform relevant to them. When you add someone to your clinic, you assign them one of six roles: Admin, Doctor, Nurse, Receptionist, Lab Technician, or Patient. Each role comes with a defined set of permissions that cannot be mixed or partially applied, so you always have a clear picture of who can see and do what across your clinic.

Role details

The Admin role is designed for clinic owners and practice managers who need full visibility and control over every aspect of the clinic’s operations. Admins can access and manage all of the following:Clinic management
  • View and edit clinic details, contact information, and operating hours under Preferences.
  • Create and manage appointment workflows under Preferences > Workflow.
  • Configure clinic-wide settings including billing preferences and drug catalogues.
  • Manage multiple clinic locations from a single account.
User management
  • Add new team members and assign them roles.
  • Edit or change the roles of existing users.
  • Deactivate accounts for staff who have left the clinic.
Clinical operations
  • Access all patient records across all doctors.
  • View all appointments, regardless of which doctor they are assigned to.
  • Oversee prescriptions, lab investigations, and consultation notes clinic-wide.
Billing and finance
  • Create, edit, and issue invoices.
  • Record and reconcile payments.
  • Access billing history and outstanding balances for all patients.
Analytics
  • View clinic-wide performance dashboards covering appointment volumes, revenue, and operational metrics.
  • Export data for external reporting.
The Doctor role gives clinicians focused access to the tools they need to see patients and manage their clinical work, without exposing administrative or financial settings that are outside their remit.Appointments
  • View their own appointment schedule and upcoming consultations.
  • Update the status of their appointments as patients move through the workflow.
  • Add notes to appointment records.
Patient records
  • Access full patient profiles for patients they are seeing or have seen.
  • Add and update consultation notes and clinical history.
  • View previous prescriptions and lab investigation results for their patients.
Prescriptions
  • Write and issue digital prescriptions during or after a consultation.
  • Search the clinic’s drug catalogue when composing a prescription.
  • View the prescription history for patients under their care.
Lab investigations
  • Order lab tests for patients.
  • View and attach investigation results to patient records.
  • Track the status of pending investigations.
Consultations
  • Conduct and document consultations linked to specific appointments.
  • Record diagnoses, clinical findings, and recommended follow-up actions.
The Nurse role is designed for nursing staff who support clinical care alongside doctors. Nurses can assist with patient management and clinical workflows without access to administrative settings or financial data.Appointments
  • View the appointment schedule to assist with patient flow.
  • Update appointment status as patients move through the workflow stages.
Patient records
  • View and update patient profiles and clinical notes relevant to their care.
  • Access investigation results and support documentation of clinical findings.
Lab investigations
  • View ordered lab tests and their status.
  • Assist with attaching investigation results to patient records.
Nurses do not have access to billing records, user management, clinic configuration settings, or the ability to issue prescriptions.
The Receptionist role covers everything a front-desk or administrative team member needs to manage the patient-facing side of clinic operations, without access to sensitive clinical or financial data.Appointments
  • Book new appointments for patients, selecting the doctor, date, and time slot.
  • Reschedule or cancel appointments on behalf of patients.
  • View the full appointment schedule across all doctors to identify availability.
  • Check patients in and move them through appointment workflow stages.
Patient records
  • Create new patient profiles, including demographics and contact information.
  • View and update basic patient details such as address, phone number, and emergency contacts.
  • Search and retrieve patient records to assist with bookings and check-in.
Schedules
  • View doctor schedules and availability to coordinate bookings.
  • See appointment lists filtered by date, doctor, or status.
Receptionists do not have access to clinical consultation notes, prescription details, billing records, user management, or clinic configuration settings.
The Lab Technician role is for diagnostic and laboratory staff who process test orders and record results. It provides focused access to lab-related workflows without exposing clinical notes, billing, or administrative settings.Lab investigations
  • View lab test orders assigned to the laboratory.
  • Record and upload investigation results against patient records.
  • Track the status of pending and completed tests.
Lab Technicians do not have access to full patient clinical histories, prescriptions, billing records, user management, or clinic configuration settings.
The Patient role applies to individuals who are registered in Prvaha as recipients of care. This role gives access only to the individual’s own data — never to the records of other patients or to any administrative functions.What patients can access
  • Their own appointment history and upcoming appointments.
  • Their own consultation summaries and clinical documents shared by the clinic.
  • Prescriptions issued in their name.
  • Lab investigation results that have been released to them.
  • Their own demographic and contact information.
Patients cannot view other patients’ records, access any administrative section of the dashboard, or make changes to clinic settings or user accounts.

Adding a team member

You must have the Admin role to add new users to your clinic.
  1. From the left-hand navigation, go to Users.
  2. Click New User.
  3. Enter the team member’s name and email address.
  4. Select their role from the dropdown — Admin, Doctor, Nurse, Receptionist, or Lab Technician.
  5. Click Create User.
Prvaha creates the account immediately and sends a welcome email to the new team member so they can log in. You can see all your team members and their current status in the Users list at any time.

Changing a user’s role

If a team member’s responsibilities change, you can update their role at any time without removing and re-adding them.
  1. From the left-hand navigation, go to Users.
  2. Find the team member in the list and click their name.
  3. Click Edit.
  4. Select the new role from the dropdown.
  5. Click Update User.
The change takes effect immediately. The next time the user loads Prvaha, they will see only the sections and actions permitted by their new role.
The Admin role grants complete access to your clinic’s settings, user accounts, patient data, and financial records. Only assign Admin access to people you fully trust — typically clinic owners and senior practice managers. Avoid assigning Admin to general administrative staff who only need day-to-day booking and check-in capabilities; the Receptionist role is more appropriate for those tasks.
