Appointment views
Prvaha gives you two ways to visualise your clinic’s schedule, and you can switch between them at any time from the top of the Appointments page. Calendar view renders appointments on a day, week, or month grid — ideal for spotting availability at a glance, identifying scheduling gaps, and planning doctor rosters. Each slot is colour-coded by status so you can see what is confirmed, in progress, or complete without opening individual records. Table view lists every appointment as a row with sortable columns for patient name, doctor, date, time, and current status. Use this view when you need to search or filter across a large volume of bookings, export data, or perform bulk actions. To switch between views, navigate to Appointments in the left sidebar and use the Calendar and Table toggle at the top of the page.Appointment lifecycle
Every appointment in Prvaha moves through a series of stages that reflect what is actually happening in your clinic. Out of the box, appointments start as Booked when first created and progress through statuses such as Confirmed, Pending, Ready for Billing, Billed, and finally Completed. Appointments can also be placed On Hold or Cancelled at any point before they reach a terminal stage. These stages are driven by your clinic’s workflow configuration. Each transition from one stage to the next can be triggered manually by your staff or automatically by the system when certain conditions are met — for example, automatically confirming an appointment the moment a doctor is assigned. Clinics can customise which transitions appear, who can trigger them, and what conditions must be satisfied before a move is allowed.Completed and Cancelled are terminal statuses. Once an appointment reaches either of these states it cannot be moved to another status.
Email notifications
Prvaha automatically sends email (and WhatsApp, where a phone number is on file) notifications to patients at key points in the appointment lifecycle:- Appointment booked — sent immediately when a new appointment is created, confirming the date, time, and assigned doctor.
- Appointment reminder — sent ahead of the scheduled visit to remind the patient of the upcoming appointment.
- Appointment rescheduled — sent when the date or time of an existing appointment changes, showing both the old and new slot.
- Appointment cancelled — sent when an appointment is cancelled, including the reason if one is provided.
- Prescription ready — sent after the consultation is complete and a prescription PDF has been generated, delivered as an email attachment.
